Registration fees include;

• Full access to the conference halls and exhibitions (attending the technical sessions),

• Free beverages, coffee breaks, and complimentary open buffet lunch.

• Airport shuttle service (Airport – Xanadu Resort Hotel – Airport) on 2 November and 6 November.

Accommodation Fees

Note: Complimentary breakfast, lunch, dinner, and coffee breaks will be provided exclusively to registered delegates staying at the Xanadu Resort Hotel as part of their accommodation package. All alcoholic and non-alcoholic beverages, as well as snacks, are provided free of charge throughout your accommodation. Delegates staying at other hotels will still have access to lunch and coffee breaks at the conference venue, but will not be eligible for complimentary breakfast and dinner.

Registration Policy

1. All the registration and accommodation fees are shown in Euro (€) and include local VAT.

2. To qualify for the listed rates, registration fees must be paid before the deadline.

3. Full payment of registration fees must be paid before the deadline to receive a confirmation of participation.

4. Registrations cannot be confirmed without full payment.
   
   

Payment Details

Credit Card

1. Visa and Mastercard payments must be 3D Secure authenticated, otherwise, payment requests may be declined. If your card isn’t 3D Secure enabled, please contact your bank to have this feature activated.

Bank Transfer

1. All fees are to be paid in Euro (€).

2. If you would like to pay via bank transfer, the participant’s name and surname must be written in the description area.

3. For payments made by bank transfer, the transfer cost must be covered by the participant. Otherwise, this cost needs to be paid at the registration desk.

4. After the payment, the receipt must be shared with the Organizing Secretariat via info@eurasiacongress.org, to receive a confirmation of the registration.

Terms and Conditions

General

1. Early registration must be accompanied by payment. Otherwise, it will not be processed and the late-registration fees will be applied.

2. Late registration must be accompanied by payment. Otherwise, it will not be processed and the on-site registration fees will be applied.

3. Registrations are valid for those who register and complete the payment. Registrations may not be transferred at any time.

4. For those who do not stay at the hotel, the registration fee includes participation in scientific programs, lunch, refreshments between 09.00 and 18.00, wifi connection and Delegate Materials. If you would like to stay after 18.00, you will need to pay for another daily fee.

5. The accompanying person's fee only includes accommodation and social programs.

6. Child discounts are only valid with two parents.

   1st child is free at 0-12 ages

   2nd child is free at 0-2 ages

7. Registration for the Eurasia Geoscience Congress & Exhibition 2025 is secured via payment of the appropriate registration fee.

8. In cases of overpayment or double-payment, refund requests must be submitted in writing via e-mail to info@eurasiacongress.org. Refunds will be processed only after the conclusion of the congress.

9. All participants can use the transportation between the hotel and Antalya Airport at certain times. (Transportation will be organized at fixed times and announced on the congress website. Personal requests may not be accommodated.)  

Cancellation Policy

1. Registration fees will only be refunded if the notice of cancellation is received by the Organizing Secretariat (info@eurasiacongress.org) until 1 August 2025. The cancellation fee is 20€.

2. Cancellations after 1 August 2025 and no-shows are not eligible for a refund.

3. A change of attendance is possible until 1 August 2025. The processing fee is 50€.

4. Registration or participation changes after 1 August 2025 are not possible.

5. There is no reason (including illness etc.) for registration cancellation that makes the above-mentioned deadline for cancellations inapplicable. 

Insurance

The organizers cannot accept liability for personal accident, loss, or damage to private property that may occur as a result of participation in the Eurasia Geoscience Congress & Exhibition 2025.
