Participation Procedure

Step 1: Get in Touch: To inquire about  sponsorship or exhibitor opportunities, please send an email to  info@eurasiacongress.org

Step 2: Define Your Needs: Please  specify your company’s needs and objectives in your email. This will help us  identify the most suitable sponsorship options for you.

Step 3: Review Sponsorship Options: In  the response to your email, detailed information about the sponsorship  opportunities that best fit your company will be provided.

Step 4: Complete the Sponsorship  Agreement and Payment: Once you choose a sponsorship opportunity, complete the  necessary documents, agreements, and make the payment to proceed with the  process.

Step 5: Engage with Us: After your  sponsorship is confirmed, our team will work closely with you to ensure a  successful presence at the event, providing support throughout the process.

Cancellation Policies

Cancellations can only be refunded in  the case of a written notification before 1 August 2025. The following  cancellation fees apply and will be deducted:

• Until 5 April 2025: No cancellation  fee

• Until 30 May 2025: 30% cancellation  fee

• Until 1 August 2025: 50%  cancellation fee

• No refunds will be made after 1  August 2025.

Pandemics, Hazards and Force Majeure

Any person who attends the conference  on-site in Antalya is obliged to follow any official regulations regarding  health and hygiene that are valid during the conference runtime. Such  regulations are considered official and mandatory if publicly announced by the  World Health Organization (WHO), the government of Türkiye, the city of  Antalya, or the Xanadu Resort Hotel as the hosting venue.

The obligation to follow official  health and hygiene regulations is not only applied to COVID-19, but to any  other pandemic or epidemic that might occur in the future.

Hazards that make it impossible to run  the EGCE2025 at the Xanadu Resort Hotel grant ARKON MICE the right to cancel  the event and therefore terminate the exhibition booth rental including the  Standard Exhibitor Service. In such cases, the full booth rental fee is  reimbursed. ARKON MICE, however, will not be liable for other costs the  exhibitor might have had (e.g., travel and accommodation of booth  representatives, planning of booth material).

Insurance and Liability for  Sponsors 

As a sponsor of the EGCE 2025, it is  essential to understand your responsibilities regarding insurance and  liability. 

Insurance Requirements:  Sponsors are required to maintain adequate  insurance coverage for their participation in the event. This includes general  liability insurance to cover any potential claims arising from their activities  during the assembly.

Liability Disclaimer:  The organizing committee will not be held  responsible for any loss, damage, or injury incurred by sponsors or their  representatives while participating in the event. Each sponsor is responsible  for their own materials, equipment, and personnel.

Compliance with Regulations:  Sponsors must adhere to all local laws and  regulations related to safety, health, and environmental standards during the  event. 

By participating as a sponsor, you  acknowledge and accept these terms to ensure a safe and successful assembly for  all involved.

Security

Security is provided in all of the  exhibit areas during off-hours, and reasonable precautions to safeguard  exhibitor property will be taken. However, there is no guarantee, and neither  the EGCE nor the conference organizer is liable for any loss or damage. Thus,  exhibitors are encouraged to remove any valuable items from the exhibit area  each evening.
